We're looking for a highly organized and detail-oriented Selections & Procurement Coordinator to support the Selections Manager and execution of our selections process from contract through construction.

Role Overview
The Selections & Procurement Coordinator role focuses on coordination, documentation, and execution. Working closely with the Selections Manager, Project Managers, vendors, and trade partners, you will ensure that all selections are clearly documented, accurately quoted, approved, ordered and delivered on time to support a smooth and efficient build process.
This role requires strong comfort with technology, documentation systems, and managing detailed information across multiple active projects.
Key Responsibilities
Selections Coordination & Execution
- Coordinate the execution of selections established by the Selections Manager
- Request, track, and organize vendor quotes for all selection items
- Confirm product specifications, lead times, and availability
- Identify long-lead items and escalate risks early
- Prepare and send selection documents to clients for review and approval
- Follow up on outstanding approvals to keep projects moving forward
- Keep projects aligned with schedule through timely execution of selections
- Support overall project organization through strong follow-through and attention to detail
Procurement & Ordering
- Prepare and place orders for all approved selections
- Track order status, deliveries, and lead times
- Proactively manage backorders, delays, and substitutions
- Communicate order updates clearly to the internal team
- Coordinate with Project Managers to schedule timely deliveries to job sites
Systems & Field Support
- Utilize project management software (JobTread) to manage selections, documentation,
- and communication
- Ensure all selections are clearly recorded, approved, and aligned with project scope and
- budget
- Upload and organize digital project records and supporting documents (quotes, spec
- sheets, approvals, invoices) across multiple projects
- Ensure all digital project information is accurate, easily accessible, and up to date
- Provide paper copies of information as needed for site use
- Assist in maintaining selection schedules and deadlines
- Ensure all required documentation is complete prior to ordering
- Assist with scanning and documenting existing conditions in the field as needed
Team & Vendor Coordination
- Communicate selection details to Project Managers, trade partners, and vendors
- Confirm selections specifications with Project Managers
- Coordinate showroom visits and sample requests as needed
Qualifications
- Experience in coordination, project support, procurement, showroom sales, or a related
- field preferred
- Strong organizational skills and high attention to detail
- Ability to manage multiple active items and follow through consistently
- Strong communication skills with team members, vendors, and clients
- General familiarity with residential finish materials (helpful but not required)
- Strong comfort with technology and digital systems (JobTread experience a plus)
- Ability to learn and use field documentation tools (e.g., scanning or measuring
- technology)
- Proficient with spreadsheets, email, and ability to learn new software
- Self-directed, dependable, and proactive

Salary & Benefits
- Full-time, W-2 Employee
- Paid Time Off: 2 weeks to start; additional 5 days PTO after 2 years
- Paid Holidays: New Year's Day, Memorial Day, Independence Day, Labor Day,
- Thanksgiving + Friday after, Christmas Day, and half-day Christmas Eve (whenapplicable)
