Selections & Procurement Coordinator (Part-Time)

Location: South Berwick, ME (in-person)

Schedule: Part-time, approximately 15 to 25 hours per week

Reports to: Production Supervisor

About the Role

The Selections & Procurement Coordinator plays a key role in keeping projects organized, aligned, and moving forward.

This position owns the execution and coordination of design selections, purchasing, and allowances once project direction has been established. You'll work closely with the Production Supervisor, project managers, vendors, and clients to ensure materials are selected, ordered, and delivered accurately and on time.

This role is design-forward but execution-focused. While it is not a lead designer or project management role, the ideal candidate has a strong interest in interior design and enjoys recommending products, finishes, and materials within established project direction and company standards.

What You'll Be Responsible For


Selections Coordination

  • Coordinate, recommend, and track client selections following established design direction and company standards.
  • Prepare and document selections, specifications, and approvals in JobTread.
  • Track outstanding decisions and follow up to keep projects moving.
  • Identify missing information or long-lead items early.

Allowance Management

  • Track allowance usage by category throughout each project.
  • Compare selections against allowances prior to ordering.
  • Prepare allowance over/under summaries to support change orders.
  • Assist with final allowance reconciliation at project close-out.

Purchasing & Procurement

  • Place purchase orders with approved vendors.
  • Confirm pricing, lead times, and availability.
  • Track order status and communicate updates to the Production Supervisor.
  • Maintain accurate purchasing records and documentation.

Deliveries & Logistics

  • Coordinate material deliveries with vendors and job sites.
  • Communicate delivery timing and requirements with Production.
  • Track received materials and flag damages, shortages, or errors.
  • Coordinate returns or replacements when needed.

Project Close-Out Support

  • Confirm all selections have been ordered, delivered, and installed.
  • Support selections-related documentation and reconciliation.
  • Help ensure clean, organized project close-out.

Communication & Escalation

  • All selections-related and project-level issues are escalated to the Production Supervisor.
  • Clear documentation and proactive communication are essential.
  • This role is expected to follow established processes and escalation paths.

What We're Looking For


  • Strong interest in interior design, materials, and finishes.
  • Highly organized and detail oriented.
  • Comfortable tracking numbers, allowances, and budgets.
  • Confident communicating with clients and vendors.
  • Strong written and verbal communication skills.
  • Able to manage multiple projects without losing details.
  • Experience in construction, remodeling, interiors, or procurement is a plus.
  • Comfortable learning and working in project management software (JobTread experience a bonus).
